What we ask for, and why
Name: to know to whom this copy is registered, and to address you.
Email, confirmed by a one-time code: to confirm the registration is yours, to send you the code, to send you notices about your registration and your copy (support, security and important product notices), and to let you manage your registration.
Mobile number (checked for format, not verified): to reach you about your registration or a support question when email does not.
Firm or business name (optional): to recognise you when you write to us about your firm's copy.
City and state: to support you in your region and language, to plan training near you, and to answer the state-specific GST questions you raise.
Role (Chartered Accountant, accountant, business owner, other): to give guidance that fits how you use the program, and to plan the free version.
Your computer's Machine ID and the program version: to tie the registration to the copy you registered so it works offline, and to know which version needs support. The Machine ID is a code made from the computer's hardware; it says nothing about you or your books.
Your consent choices, with their time and this notice's version: to prove what you agreed to, as the law requires.
What never leaves your computer
Nothing from your books: no company, ledger, voucher, party, amount or file is sent for registration, now or later.
Purpose 1: registration (needed for new entries)
The free version asks you to register it. For 7 days from its first start it works fully without registering, offline too. After that, new entries wait until the copy is registered. Viewing, exporting, backing up and restoring your books never stop, registered or not.
Purpose 2: updates and offers (optional, a separate tick)
Only if you tick it, we may email, phone or WhatsApp you about paid plans, demos, training and new features. Not ticking it changes nothing in the program, and you can withdraw it at any time.
Who handles your data for us
Cloudflare, Inc. hosts the registration service and its database (its servers are in many countries). Zoho Corporation (Zoho ZeptoMail) sends the code emails. They act only on our instructions. We do not sell your details or share them with anyone else.
How long we keep it
While your registration is in use, and at most 3 years from the last time you registered or confirmed it; then it is erased. Unused codes and pending requests are erased within a day; scrambled internet-address counters, kept only to stop misuse, within two days. When you delete your registration it leaves our list at once and is never used again. The Digital Personal Data Protection Rules, 2025 (rule 8(3)) require a sealed copy and the record of processing to be kept for one year; nobody opens it except to meet a demand the law obliges us to meet, and it is then erased. Our host's database backups hold a deleted record for up to 7 more days.
Your rights, and how to use them
You may see what we hold, correct it, withdraw either consent, have your registration deleted, and nominate someone to act for you. Withdrawing is as easy as giving: one click. Use https://register.shrutilekha.com/my (we email you a code to prove it is you), the Registration screen in the program, or write to hello@shrutilekha.com from your registered email, giving your registration number or email. If you withdraw your consent to registration, your registration is deleted; the registration already on your computer stays on it.
Complaints
Write to our Grievance Officer, Rohit Narang, at hello@shrutilekha.com. We reply within 30 days. If you are not satisfied, you may complain to the Data Protection Board of India under the Digital Personal Data Protection Act, 2023.
Age, and your own details
Registration is for persons aged 18 or over. Please give your own, correct details.
How we protect it
Your details travel encrypted and are stored encrypted. Codes are kept only in scrambled form. Only our owner can open the registration list, with a one-time code each time, and every access is logged; logs are kept for one year.
Language
This notice is available in English and Hindi. If the two differ, the English text prevails.
